Retail Warehouse Assistant
The Retail Warehouse Assistant is responsible for maintaining accurate records of purchase orders, ensuring the proper organization and tracking of orders pending processing. This role supports the Retail Warehouse Supervisor in all operational functions, including providing daily direction to retail clerks, coordinating order flow, and maintaining a high level of accuracy and efficiency in warehouse operations.
Essential Duties and Responsibilities:
- Receive, sort, and organize daily shipments in the receiving area.
- Match packing slips to corresponding purchase orders generated by retail outlets.
- Generate and print merchandise tags for incoming inventory.
- Maintain accurate records of all open and closed purchase orders.
- File closed orders in designated filing systems for future reference.
- Manage the "problem pile" area, ensuring accurate documentation of all items and timely resolution.
- Handle special orders and drop ship receiving's, ensuring all documentation is accurate and items are routed appropriately.
- Follow up with retail outlets regarding time-sensitive information required for processing orders in the system.
- Distribute updated reports of pending orders to retail outlets to ensure transparency and accountability.
- Communicate directly with vendors to resolve discrepancies, including missing items, damaged goods, or incorrect shipments.
- Process orders alongside retail clerks during high season or peak periods to ensure timely completion.
- Assist with scanning and submitting invoice backups to Accounts Payable for timely payment processing.
Qualifications:
- Strong data entry skills with high attention to detail and accuracy.
- Ability to work in a fast-paced environment while meeting critical deadlines.
- Strong organizational skills with the ability to maintain detailed records.
Education and/or Experience:
- Any combination of education, training, or work experience that provides the necessary knowledge, skills, and abilities.
- Proficiency in procurement software, including Birchstreet and Agilysys.
- Skilled in Microsoft Excel, Outlook, and Word.
Language Skills:
- Proficient in reading, writing, and comprehending the English language, with the ability to interpret technical documents and vendor communications.
Reasoning Ability:
- Highly detail-oriented, with strong problem-solving skills and the ability to prioritize tasks to meet strict deadlines.

Attendance, Appearance and Conduct:
Regular attendance in conformance with the standards, which may be established by Ocean Reef Club from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment. Due to the cyclical nature of the hospitality industry and report deadlines, associate may be required to work varying schedules to meet the business needs of the Club and report deadlines. Proper grooming is required by all associates and is described in detail in the Associates Handbook. Associates should review this policy and make sure that at all times they present themselves for shifts looking clean, neat and professional. As a condition of employment, all associates agree to fully comply with Ocean Reef Club rules and regulations for the safe and efficient operation of Club facilities. Associates who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment.
