Administrative Assistant (On-site)

Our client is seeking a highly organized and detail-oriented Administrative Assistant to provide essential administrative support for their team. This role will involve handling a variety of tasks, including managing correspondence, maintaining records, and supporting the team with daily operations and projects. The ideal candidate should be proficient in office technology and communication tools and have the ability to work efficiently in a fast-paced environment.
Use various information technology applications (email, databases, spreadsheets, word processing applications, including Microsoft Office Suite):
Composes, types, and distributes correspondence and reports
Sets up and manages both paper and electronic filing systems
Creates, maintains, and enters information into spreadsheets and databases (SLMS, DFS Designations, Fed Provider)
Updates SLMS and Fed Provider databases, managing enrollments, class changes, and certificate tracking
Creates and maintains SLMS courses and classes for Fed Provider and NAIC, ensuring accurate recordkeeping and tracking certificates/attestations for completed classes
Answer telephone calls, provide information to callers, take messages, and direct calls as needed
Greet visitors and handle inquiries, directing them to the appropriate person or department
Enter visitor information into the Building Security system
Operate office equipment (printers, scanners, copiers) and arrange for repairs as needed
Manage Training Unit correspondence and mail, including routing and answering routine inquiries
Mail various materials (letters, reports, training materials), prepare packages, and arrange for shipping
Complete forms in accordance with agency procedures and attach appropriate files
Manage shared email accounts for the Training Unit, handling inquiries, scheduling appointments, and maintaining records
Manage training resources (rooms and equipment), coordinating with Office Services and IT Helpdesk to ensure all training technology is functioning properly
Research information using various sources, including the internet
Contribute to team projects and committee work
Perform other duties as assigned
Required Qualifications:
Bachelor’s Degree OR
High School/High School Equivalency Diploma with at least two years of administrative support experience
Preferred Skills/Abilities:
Proficiency in Microsoft Office Suite and various information technology applications
Familiarity with virtual meeting platforms (Webex, Teams, Adobe Connect, etc.)
