STATE BAR OF TEXAS JOB VACANCY NOTICE JOB NUMBER :26-008-1835 CLOSING DATE : Open Until Filled STARTING SALARY RANGE : $39,767- $44,738 annually, plus excellent benefits POSITION TITLE : Administrative Assistant IV DEPARTMENT : Membership GENERAL DESCRIPTION : Provides a variety of high-level administrative support services to the Membership Department, including managing the reinstatement process; answering and responding to telephone calls and emails requesting customer service, information, and assistance; processing voluntary resignations; processing list requests and PIA requests; and monitoring and updating MCLE discrepancies and updating MCLE suspension dates in the membership database. Frequent contact with other departments of the State Bar, the public, and other individuals and organizations outside of the State Bar. PRIMARY FUNCTIONS : Manages the entire reinstatement process, from providing the quote to processing the payment. Performs extensive research and analysis for each attorney reinstatement, including determining prior payment and status history, legal services fee exemptions, profile history, emeritus status, disciplinary suspensions and history, first and Texas license dates, and change-log analysis. Answers a high volume of incoming phone calls from attorneys, the public, and other SBOT departments requesting service, information, and assistance. Processes dues/ATJ/sections payments over the phone when an attorney is unable to access the website, and files paperwork with appropriate batches. Processes voluntary resignations on behalf of the Membership Director. Communicate with attorneys regarding rules and eligibility for voluntary resignation. Request Certificates of Good Standing from the Chief Disciplinary Counsel on behalf of attorneys. Processes list requests and PIA requests received from members and the public. Updates MCLE suspension dates in the membership database each month. Monitors and corrects Membership database discrepancies that affect attorney billing records. Manage incoming calls concerning attorney identity fraud and communicate issues with attorneys, other State Bar departments, and law enforcement. Assists walk-in customers with payments and other general requests. Assists management with special projects and other duties as assigned. POSITION REQUIREMENTS : Requires high school diploma or equivalent and a minimum of five years of related work experience. Requires the ability to communicate effectively by telephone, in person and in written form with State Bar members, co-workers, and the public. Must be able to respond to a high volume of telephone calls of a repetitive nature. Experience using a database software program a definite plus. Intermediate experience using Word and Excel also a plus. Must be willing and able to work with other employees in performing assigned tasks as it relates to team effectiveness. Must coordinate with other members of the Membership Department to assure phone lines are covered between 8:30am-4:30pm. Must have excellent customer service skills or call center experience.
