Summary:
Provides support to the A.V.P./V.P. by receiving, routing, and answering correspondence each day. Ensures all reports and evaluations are completed in a prompt manner. Makes preparation for designated meetings, assuring room arrangement, food preparation, agenda and materials are available, and pre-meeting communication is carried out. Accurately records meeting minutes. Acquires appropriate signatures, files originals, and attachments in appropriate minute book and distributes copies as needed. Maintains the A.V.P./V.P.'s calendar accurately and up to date. Effectively reviews calendar daily to determine necessary data to be retrieved for meetings or other events such as travel arrangements in efficient cost effective manner. Performs filing tasks in an efficient and effective manner, resulting in accurate up to date files for easy access and retrieval of information. Maintains sufficient supplies at all times. Completes assigned typing and dictation by designated time with no typographical errors and in proper format. Documents contain appropriate attachments or enclosures. Compiles data and coordinates information for preparing various questionnaires, surveys, objectives, and other records according to instructions and within the specified time frames. Maintains all manuals in an up-to-date and appropriate format. Phone messages include date, time, name and phone number. Calls requiring action are immediately brought to the A.V.P./V.P.'s attention so problem solving can occur within a reasonable time frame. Tabulates statistical data accurately and maintains as assigned. Pick-up and delivery of mail to all Unit Supervisors as designated. PAF's of all designated employees is handled in a prompt and efficient manner. Help and support is given to Unit Supervisors and Directors as needed. Demonstrates the ability to communicate in ways that are age appropriate and population specific. Other information:
Associates degree plus one year of experience or an equivalent of a high school degree plus three years of experience.
This job will be authorized 80.00 hours bi-weekly.
