POSITION SPECIFICS ​ Penn State Dickinson Law at University Park is seeking a candidate for an Administrative Assistant - Senior Support to support the law school’s executive leadership team in University Park. This role will manage the executives’ calendars, schedule meetings, initiate reimbursements, and greet visitors to the Deans’ suite. The role will provide support for special events as well as provide assistance to the Academic Affairs team. The successful candidate will possess exceptional organizational, communication and customer service skills to develop and maintain positive relationships with internal and external stakeholders, manage the exchange of information, resolve issues or concerns, and coordinate activities. This position is fully in-person with the potential for occasional remote work. The successful candidate will be responsible for the following: Administrative Support: Provide professional administrative support to the law school’s executive leadership team, including managing calendars and scheduling meetings with students, faculty, and external constituents. Utilize internal and external technologies in order carry out various business processes, including monitoring and responding to email messages from multiple email inboxes, proofreading, editing and finalizing documents; initiating travel reimbursements; purchasing materials; preparing surveys, collecting responses, and compiling and presenting results. Answer and route phone calls; collaborate with dean's executive assistant as needed. Anticipate upcoming work projects and/or needs and plan appropriately as well as develop office procedures and as needed. Academic Affairs: Assist the Registrar with academic records, exam administration, and grade entering. Assist with adjunct faculty hiring and assessment. Manage projects for the Academic Affairs office. Project Management/Event Coordination: Assist with planning special events that are related to the Associate Deans’ portfolios such as banquets, speakers’ series, and symposia. Assist with logistics for the Race and Equal Protection of the Law (REPL) course, including its guest lecturers and other attendees. Liaise with the Facilities Representative and Student Services teams to coordinate building usage. Manage events and travel for students participating in special programs for academic credit such as Moot Courts, Mock Trials, and Law Journals. Preferred experience: Experience with Microsoft Office , Zoom, Teams, SAP Concur, and Workday ADDITIONAL REQUIREMENTS Certifications : Notary Public preferred MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS Associate Degree 4+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None BACKGROUND CHECKS/CLEARANCES Employment with the University will require successful completion of background check(s) in accordance with University policies.Penn State does not sponsor or take over sponsorship of a staff employment Visa.
